Position Overview: We are looking for a highly organized and detail-oriented HR Operations Coordinator Intern to support our Human Resources department. This internship offers a unique opportunity to gain hands-on experience in HR operations, working closely with our HR team to help streamline processes and improve administrative efficiency. You will be responsible for organizing files, handling administrative tasks, collaborating with other HR departments, and assisting with data management through spreadsheets, all while contributing to a supportive and collaborative work environment.

This job description highlights key administrative and organizational responsibilities that would be expected from an HR Operations Coordinator Intern, while obtaining a solid foundation in HR activities such as program management, global mobility, compliance reporting, HR-related systems/resources, etc.

This role requires the intern to be onsite in Cubic's San Diego office.

12-week summer experience

Key Responsibilities:

  • Assist in organizing and migrating HR files and documents to a cloud-based storage system, ensuring all files are accurately categorized and easily accessible.
  • Support the processing and tracking of invoices for HR-related expenses, ensuring that invoices are accurate, properly coded, and submitted for approval in a timely manner.
  • Work with Excel to maintain and update spreadsheets, such as employee records, compliance reporting, and other HR metrics, ensuring data is accurate and up to date.
  • Provide general administrative support to the HR team, including scheduling meetings, preparing documentation, and assisting with correspondence.
  • Assist in maintaining and updating documentation including but not limited to: employee records, policies, state/federal reporting to ensure compliance with internal policies and legal regulations.
  • Assist in setting up in-person meetings and other on-site activities at Cubic's San Diego headquarters.
  • Collaborate with the HR team to identify areas for process improvement within HR operations and help implement more efficient workflows.
  • Assist in various HR projects and initiatives as needed, providing valuable input and contributing to the overall success of the HR department.

Qualifications:

  • Currently pursuing a degree in Human Resources, Business Administration, or a related field.
  • Proficiency in Microsoft Office applications - Excel, Outlook, PowerPoint, SharePoint
  • Ability to navigate systems such as SAP, Workday, ADP, etc.
  • Strong attention to detail and ability to manage multiple tasks efficiently.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Eagerness to learn and contribute to HR-related projects.
  • Previous internship or experience in an administrative or HR-related role is a plus.

Cubic Pay Range:

$20-28/hr.* + benefits.

*Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from our lowest geographic market up to our highest geographic market.

The Cubic pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other law.
