About The Job
Dudek is seeking a Sr. Benefits Compliance Audit Specialist Compliance to oversee and manage compliance-related activities, including ESOP administration, VEBA Trust, 401(k), and federal reporting. The Sr. Benefits Compliance Audit Specialist will work closely with Dudek leadership and reporting to the Controller, serving as a point of contact for external partners, and ensure timely and accurate audits and filings.

Duties and Responsibilities (may include some or all of the below):
ESOP Administration:
  • Manage all aspects of ESOP administration, including the annual census in January and collaboration with third-party administrators.
  • Review and support the annual Form 5500 filing process, ensuring accurate and timely submissions.
  • Coordinate the creation and distribution of ESOP-related documents, such as distribution letters, to stakeholders.
Audit Preparation and Oversight:
  • Prepare for and facilitate audits related to VEBA Trust, 401(k), and ESOP, ensuring all required documentation is accurate and readily available.
  • Act as the main point of contact for auditors, addressing inquiries and providing necessary explanations.
  • Maintain thorough audit trails and documentation to ensure compliance with regulatory requirements.
VEBA Trust Administration:
  • Oversee VEBA Trust activities, including monitoring and funding the self-insured medical plan bank account.
  • Collaborate with HUB to resolve issues and ensure compliance with VEBA Trust regulations.
  • Support the annual audit process by gathering required documentation and addressing inquiries.
401(k) Administration:
  • Act as the primary contact for 401(k) administration, working closely with T. Rowe Price to resolve issues and implement changes.
  • Monitor plan compliance and ensure timely communication with employees regarding contributions and benefits.
  • Oversee the annual Form 5500 filing process for the 401(k) plan, ensuring accuracy and adherence to deadlines.
Federal Reporting for Federal Contracts:
  • Prepare and submit federal reports required for government contracts, ensuring accuracy and compliance.
  • Collaborate with internal teams to gather necessary data and documentation for reporting.
Documentation and Policy Development:
  • Develop and maintain thorough documentation of compliance-related activities, ensuring easy access and retrieval for audits and reviews.
  • Work with legal, HR, and finance teams to create and update policies that align with legal requirements and company standards.
Communication and Training:
  • Serve as a subject matter expert for compliance-related topics, providing guidance and support to HR, payroll, and finance teams.
  • Conduct training sessions for employees on compliance topics such as ESOP, 401(k), and health benefits administration.
Continuous Improvement:
  • Monitor changes in regulations and industry trends, recommending and implementing updates to processes and systems.
  • Proactively identify areas for improvement in compliance procedures and implement best practices.
Minimum Qualifications:
  • Bachelor's degree in accounting or equivalent experience.
  • 4-5 years of experience in audit / compliance roles related to benefits, 401(k), and federal reporting.
  • Strong understanding of ESOP, VEBA Trust, and 401(k) administration.
  • Exceptional organizational skills and attention to detail.
  • Proven ability to manage confidential information and work collaboratively across teams.
Preferred Qualifications:
  • Experience in federal reporting for contracts.
  • Familiarity with benefits audits and administration.
  • Prior experience in Architecture-Engineering-Construction (AEC) industry.

Proposed Salary Range: $90,000-$120,000 annually*

*Final agreed upon compensation will be based on a variety of factors including but not limited to an individual's related experience, education, certifications, skills, and work location.
