Job DescriptionThe Specialist will coordinate all activities involving Risk Management and insurance operations. Assists in the overall management of the department, including contracts, budget, process purchase orders, paying vendors and providing administrative support to the Risk Management Director. Manages insurance policy renewals, claims process, and reporting as required by brokers. Insurance carriers and the State Office of Risk Management. This position requires strong organizational skills and ability to work with internal and external customers. Works with considerable latitude for exercising independent judgment in planning and arranging work in accordance with established procedures.Serve as the primary point of contact for administrative inquiries, from internal and external parties, related to risk management operations.
Essential Functions:

Processing insurance policies, claims, contracts and purchase orders ensuring proper approvals and vendor management. Coordinates the activities of the Risk Management Committee, including organizing meetings, training, maintaining charter, keeping agendas and minutes, filing documents with IER, etc. Collaborate with other committees as needed: Conflict of Interest, ADA, Safety, etc. Collaborate with Emergency Operations Teams at all campuses. Coordinate inspections by external agencies (i.e. SORM, SFMO, STARR, etc.) at TSTC campuses. Coordinates response to reports and tracks the status of corrective actions associated with their recommendations. Provide administrative support to the risk management director, including assisting with scheduling, travel arrangements, expense reports, timesheets, and communication. Coordinate meetings, trainings, and conferences for the statewide risk management team, providing logistical and administrative support as needed. Serve as the primary point of contact for administrative inquiries, from internal and external parties, related to risk management operations. Collaborates with Fleet Management to process vehicle liability claims through the Office of Risk Management, and ensures vehicle damages are repaired as needed. Collaborates with affected departments to process property claims through the Office of Risk Management, and works with insurance brokers and claim adjusters through the life of the claim. Prepares, updates and distributes reports as needed, including semi-annual reports for properties, bi-monthly reports for vehicles, annual reports for claims, and the like. Ensures compliance with the university's vehicle/driver requirements post-accident. Administers and maintains certificates of insurance as needed, and performs claims management for selected lines of insurance coverage. Assists with RMIS management for report generation, and supports the management and administration of various property and casualty insurance programs, documents, and policies. Prepares insurance renewal applications, updates and maintains required schedules for insurance policies (i.e. property, vehicles, etc.) as required. Coordinates the statewide risk management program and assists the Risk Manager with the implementation of Risk Management policies. Coordinates with the receipt, processing, and payment of all TSTC System Insurance Policies and required SORM authorization reports (SORM 200). Coordinates the receipt of college Public Information Requests and Subpoenas with the college Office of General Counsel for review and processing. Maintains the Risk Management web page in Portal and/or google site. Coordinates the organization and maintenance of the Risk Management Network Drives.
Qualifications:
Education: Bachelor's degree in Business Management or related field. OR an Associate's degree along with equivalent work experience. Experience must be in administrative, insurance, risk management, claims, safety, compliance, legal environments, preferably in higher education. General insurance claim process, policy renewals, understanding of RMIS and experience working with insurance carriers, agents, and brokers. Proven experience working with budgets, contracts, and vendor relationships Strong project management skills with the ability to handle multiple tasks and deadlines. Experience working with and analyzing data, identifying patterns and trends. Extensive administrative experience, with demonstrated attention to detail, and excellent organizational, interpersonal skills. Knowledge of local, state, and federal laws and regulations relevant to risk management. Excellent oral and written communication skills, and ability to maintain a strict code of confidentiality. Ability to travel as appropriate to all TSTC Campuses across the state as needed for the coordination of risk management activities.
