The ideal candidate will be responsible for leading the strategic direction, development, and implementation of OnBase solutions within the organization. This role combines both technical expertise and product management skills to drive business outcomes and optimize the use of OnBase enterprise content management (ECM) and workflow solutions. The OnBase Technical Product Owner will work closely with internal stakeholders, IT teams, and vendors to manage the product backlog, define requirements, and ensure OnBase solutions meet business needs. In addition, this role will require the candidate to oversee the planning, execution, and delivery of OnBase-related projects, ensuring they align with business priorities and are completed on time and within budget. ESSENTIAL RESPONSIBILITIES PRODUCT BACKLOG OWNERSHIP & REFINEMENT Serve as the OnBase product owner, responsible for defining and prioritizing the product backlog based on business needs and technical requirements. Work with business stakeholders to understand their needs, translate them into clear user stories, and communicate the vision and roadmap for OnBase functionality. Collaborate with technical teams to ensure OnBase solutions are implemented in alignment with best practices and organizational standards. Act as a subject matter expert on OnBase features, functionality, and best practices, providing technical guidance to both internal teams and external vendors. Lead the testing and validation efforts for OnBase solution deployments, ensuring successful product releases and smooth user adoption. PROJECT MANAGEMENT Lead and manage OnBase-related projects, ensuring they are delivered on time, within scope, and within budget. Develop detailed project plans, timelines, and resource allocation strategies to achieve project goals. Coordinate cross-functional teams, including IT, business users, vendors, and other stakeholders, to ensure the successful implementation of OnBase solutions. Identify and mitigate project risks, manage dependencies, and escalate issues as needed to ensure smooth execution. Track project progress, communicate status updates to stakeholders, and make adjustments to timelines or resources as necessary. COLLABORATION WITH DEVELOPMENT TEAMS Act as a liaison between the business stakeholders and the technical team. Participate in daily stand-ups, sprint planning, and review sessions. Provide clarifications and guidance on requirements to the development team during sprints. CONTINUOUS IMPROVEMENT Analyze OnBase performance metrics and usage patterns to identify opportunities for improvement or optimization. Stay up-to-date with new OnBase features, releases, and industry trends to drive innovation and maintain the organization's competitive edge in ECM technology. Provide ongoing support and troubleshooting for OnBase-related issues, working closely with IT teams to resolve technical challenges. STAKEHOLDER COMMUNICATION Support the Senior Product Owner in managing stakeholder relationships and expectations. Assist in gathering feedback from end-users and stakeholders to refine product features. Communicate progress, risks, and timelines to stakeholders. TECHNICAL REQUIREMENTS GATHERING & ANALYSIS Collaborate with the engineering team to gather technical requirements and understand technical constraints. Assist in translating technical requirements into clear, actionable user stories and epics. Familiarize yourself with basic IT infrastructure, including APIs, databases, and cloud platforms. Understand and document technical workflows, data models, APIs, and integrations. Evaluate and recommend tools, frameworks, and technologies that support product objectives. PRODUCT VISION & STRATEGY SUPPORT Understand the product vision and contribute to the creation of short- and long-term product roadmaps. Assist in identifying key business and technical metrics for product success. Contribute to defining and refining the product vision, strategy, and roadmap, incorporating feedback from key stakeholders. Conduct market and competitive analysis to inform product decisions and identify new technical opportunities. Drive continuous improvement of the product by leveraging metrics, user feedback, and emerging technology trends. AGILE PROCESS Lead sprint planning, backlog refinement, daily stand-ups, and sprint reviews to ensure development teams are focused and productive. Champion Agile best practices and drives continuous improvement in team processes and collaboration. Manage sprint goals and timelines, balancing scope, resources, and priorities to ensure timely product delivery. CROSS-FUNCTIONAL COLLABORATION & COMMUNICATION Serve as a bridge between technical and non-technical stakeholders, translating technical concepts into business-friendly language. Act as the primary interface for resolving product issues and ensuring alignment across development, operations, and support teams. Facilitate technical discussions and decision-making processes across teams to drive product delivery. QUALITY ASSURANCE & UAT LEADERSHIP Define and enforce acceptance criteria for features and user stories to ensure high-quality deliverables. Collaborate with the QA team to develop comprehensive test plans, perform acceptance testing, and ensure product readiness. Lead user acceptance testing (UAT) sessions, ensuring that product features meet business and technical requirements. PRODUCT LAUNCH & POST-SUPPORT Coordinate product releases, working closely with release management, DevOps, and support teams. Monitor and track the performance of product features post-launch and implement necessary improvements. Provide post-release support to address technical issues and feedback from users and stakeholders. ON PREMISES, HYBRID & CLOUD ENVIRONMENTS Work with business applications across various environments, including on-premises, hybrid, and cloud systems. Work with the infrastructure and cloud teams to ensure that application environments are stable, secure, and meet business performance expectations. Support the transition of applications from on-premises environments to cloud or hybrid architectures, working closely with senior IT leadership on cloud migration strategies. Ensure proper governance and performance monitoring for applications in all environments, proactively identifying areas for optimization. STAKEHOLDER MANAGEMENT & COLLABORATION Act as a key liaison between business users, IT teams, and external vendors to ensure that applications meet the needs of the organization and align with business goals. Facilitate communication between technical teams and business stakeholders, ensuring clear understanding of project timelines, deliverables, and expectations. Work closely with other IT managers and teams to ensure successful integration of business applications with other enterprise systems. RISK & COMPLIANCE Ensure that all business applications comply with industry regulations and internal security standards, including SOX, PCI-DSS, and other financial sector regulations. Work with the cybersecurity team to ensure applications are secured against potential threats and vulnerabilities. Develop and implement procedures for regular audits, risk assessments, and disaster recovery plans for critical applications. REQUIRED QUALIFICATIONS Education: Bachelor's degree in Computer Science, Information Technology, Business Administration, or a related field (or equivalent work experience). Experience: Minimum of 3 years of experience in OnBase technical product ownership, development, or administration. Experience with OnBase product management, including configuration, customization, workflow design, and integrations. Project management experience, including the ability to plan, execute, and deliver complex technical projects. Experience with Microsoft SQL Server, C#, .NET, or similar technologies. Certifications: OnBase certification (e.g., OnBase Certified System Administrator, OnBase Certified Workflow Specialist). PMP, Scrum Master, or other project management certifications are advantageous. SKILLS NEEDED Familiarity with cloud-based OnBase deployments and hybrid environments. Strong technical background with an understanding of ECM, document management, and workflow automation solutions. Familiarity with Agile methodologies (Scrum, Kanban) for product and project management. Excellent problem-solving skills, with the ability to balance technical constraints and business needs. Strong communication skills, both written and verbal, with the ability to engage and influence stakeholders at all levels of the organization. Ability to work independently and as part of a collaborative team. *Additional Skills & Qualifications* It is VERY important that this person is a solid communicator and can work well with both leaders on the business and technical side.
