Compliance Analyst

Summary:

The Compliance Analyst reports directly to the Manager of Compliance and Program Effectiveness and is responsible for supporting the authoring approvals maintenance security accessibility communication and timeliness of organizational policies and the conflict-of-interest process. The Compliance Analyst facilitates the systematic review of policies and guides ongoing updates to policies as needed in alignment with regulatory and accreditation standards. The Compliance Analyst collaborates with interdisciplinary team members and system leadership to coordinate and guide document control processes and systems as to policies and procedures and is responsible for working to develop and enforce policy completion based on design review and storage guidelines.

In collaboration with Brown University Health*s system leadership provide strategic guidance and support in the development implementation and evaluation of a comprehensive and aligned document control system for the organization*s policies and procedures. Educate Brown University Health*s executive management department leaders and members of the medical staff in system controls surrounding policy management.

Reporting to the Manager of Compliance and Program Effectiveness the Compliance Analyst is responsible for supporting Management through the policy development review and approval process.

This position will provide support and assistance to departments serving as the subject matter expert related to the process of policy updates policy development and PolicyStat. This position works closely with clinical teams non-clinical teams and administrative teams in supporting policy development review and updates.

JOB RESPONSIBILITIES AND KEY AREAS OF RESPONSIBILTY:

Facilitate and coordinate with Policy Subcommittees to develop and review the approval processes related to policy management.

Coordinate with the Brown University Health Policy Committee and informatics to develop review approve and track policy renewal.

Coordinate educate and interact with all policy writers regarding the development approval and revision of policies as well as the assessment of duplicative policies. Ensure each document is sent through the appropriate review and approval channels.

Facilitate reporting on policy review progress. Make recommendations to ensure appropriate participation and representation for the system on all Policy Committees.

Collaborate with the Manager of Compliance and Program Effectiveness to oversee the publication and storage of all policies and other related documentation on the policy platform.

Support the development of documentation and/or a policy management plan as determined by the Brown University Health Policy Committee or leadership and maintain updates as needed. Manage the system*s policies throughout the document lifecycle.

Ensure all policies and associated documents go through an approved review and approval process before archiving/storage or providing access to references. Work with marketing and communication and/or Information Services on digital or electronic systems for storage of and access to policy information.

In collaboration with leadership support the selection design and dissemination of performance metrics of effective policy and document control processes. Collaborate with leadership in all areas to develop a reporting format for key stakeholder group dissemination that facilitates analysis action planning and desired change.

Demonstrate competence in the policy management and conflict of interest systems and support both systems to ensure performance improvement and implementation science. Lead performance improvement reliability and sustainability as it pertains to the policy management and conflict of interest systems.

Present status reports and project plans/timelines.

Coordinate day-to-day activities of the policy project organize and coordinate meetings take minutes and maintain records systems.

Complete basic analyses and data coordination for project support including but not limited to quantitative and qualitative analyses to support the objectives of assigned projects and ensure completion of project objectives within agreed-upon time limits.

Assist in the development and implementation and coordinate communication plans and educational programs on new and revised policies for effective dissemination of policy information including any workflow changes secondary to policy revisions.

Ability to work with quantitative data and manage projects using project management methods and approaches.

Strong written and verbal communication skills with the ability to tailor communications to individuals and audiences throughout the system and through all levels of leadership.

Strong organizational skills with the ability to focus a detailed and concentrated effort to multiple projects and re-establish priorities as necessary.

Ability to effectively respond to time-sensitive issues and meet deadlines.

Initiative and ability to work independently (self-direction) while thriving in a setting requiring collaboration and teamwork for maximum efficiency and effectiveness.

Attention to detail that ensures follow-through on all initiatives implemented and all projects undertaken. Strong follow-up skills with demonstrated attention to detail.

Excellent oral and written interpersonal and group/team facilitation skills.

Working knowledge of quality and safety improvement strategies and methods.

QUALIFICATIONS * EDUCATION/CERTIFICATIONS:

Associate or bachelor*s degree in a healthcare related field clinical discipline or paralegal or a bachelor*s degree in another discipline with relevant healthcare work experience and a strong working knowledge of healthcare processes structures and terminology.

QUALIFICATIONS - EXPERIENCE:

One or more years of compliance privacy quality accreditation or process improvement operations healthcare consulting or management related to compliance/quality/patient safety and regulatory standards.

Familiarity with policy-writing or oversight preferred.

Demonstrated skills in project management.

Demonstrated skills in computer applications such as Microsoft Word Excel PowerPoint and other related software programs.
