What you will learn and contribute to

Bell Labs Solutions Research organization is now looking for an Administrative Assistant to join their team in Murray Hill, New Jersey. As Administrative Assistant to the BLSR Labs, you will be a key player in ensuring the smooth operation of their day-to-day activities. You will be responsible for managing their calendar, coordinating meetings, arranging travel, and providing administrative support, all while maintaining the highest level of discretion and confidentiality.

Key Responsibilities:



  • Calendar & Time Management: Proactively manage the Lab Leaders' calendars, prioritizing appointments and ensuring efficient time allocation across multiple time zones.
  • Communication & Information Management: Screen incoming correspondence, prioritizing and responding appropriately. Seek, update, and provide information to the VP, including research and compilation of reports, presentations, and organizational charts.
  • Meeting Coordination: Organize and facilitate meetings, including booking facilities, distributing materials (minutes, presentations), and managing follow-up actions.
  • Travel & Expense Management: Plan and arrange complex travel itineraries, schedule appointments, and process expenses.
  • Project Support: Assist in the production of presentation materials and the coordination of internal and external events.
  • Team Collaboration: Interact and coordinate with members of the Product & Engineering leadership team, BG management team, and other executive offices.
  • Process Improvement: Continuously seek opportunities to improve processes, methods, and overall efficiency.


Your skills and experience[AH1]



  • Ability to handle information with discretion and confidentiality
  • Ability to learn things and work autonomously.
  • Strong people oriented, taking initiatives, and reaching out to people and seek to build a network among other admins
  • Autonomously performs tasks with a moderate level of guidance and within guidelines and policies.
  • Fluent English language skills (written and verbal)
  • Proficiency in MS Office Suite: excellent knowledge of Microsoft office applications, including Outlook, PowerPoint, Excel and Word. SharePoint, PBI and Teams knowledge is a plus.
  • Ability to create clear and concise communication in various formats
  • Track record of strong administrative assistance experience
  • Excellent planning skills, with the ability to manage complex calendars across multiple time zones and prioritize tasks in a fast-paced environment.
  • Strong organizational skills with the ability to think critically, solve problems effectively and make decisions
  • Strong attention to detail and a commitment to delivering high-quality work
