Embry-Riddle Aeronautical University is seeking a dedicated Academic Records Specialist to join our Registrar's Office. This role is essential to maintaining the integrity and accuracy of student records while delivering exceptional customer service to students and the university community. Reporting to the Associate Registrar, the Academic Records Specialist supports a variety of administrative and student-facing operations, ensuring accurate record-keeping and high-quality service. The Office of the Registrar is a collaborative environment that values innovation, promotes excellence, and contributes to student success. Members of this dynamic team are committed to providing high-quality support to our academic community and one another. Primary Job Functions, Duties, or Accountabilities:

Transcript Requests:

  • Review, process, and deliver transcripts daily (both electronic and paper transcripts), utilizing Parchment's system software. Determine eligibility for the release of transcript record based on student's account and FERPA restrictions. Communicate ineligibility issues with students and /or campuses. Maintain a pending file for incomplete requests and follow up in a timely fashion, utilizing Parchment's tracking and reporting functionality.

Customer Service:

  • Engage in daily telephone and email contact with students and advisors requiring assistance with transcripts and records requests in a professional, helpful manner.
  • Interface with federal, state and local investigators seeking student educational records, determine validity of the request and provide records in a timely, accurate manner.
  • Coordinate with other offices to gather necessary documentation and approvals for subpoenas and send subpoena materials.

Record Requests and Enrollment Verifications:

  • Ensures the accurate and timely verification of student enrollment and graduation statuses for various stakeholders, including students, employers, government agencies, and other organizations in accordance with university policies and applicable regulations.
  • Process National Student Clearinghouse student records updates as directed.

Record Maintenance:

  • Research archived records and recreate records in the Student Information System to produce an official transcript.
  • Coordinate with university departments to maintain accurate historical records and resolve transcript-related issues.
  • Apply transcript notations, academic standing and other notes upon student records.

Process student record-related actions, such as registration, detailing, credit assignments, and others. Provide administrative assistance for the various committees.

Qualifications

Qualifications:

1-3 years clerical or customer service experience; Associate's degree preferred.

1-3 years of work related experiences; Administrative

Required skills, knowledge, abilities:

  • Comply with State, Federal, and University policies.
  • Possess strong computer skills, including proficiency in Microsoft Office, Teams, student information systems and third-party software applications.
  • Demonstrate excellent organizational skills, adaptability, problem-solving, research, and analytical abilities
  • Contribute to a positive, inclusive, and team-oriented work environment as a highly motivated, self-directed, and capable team member who manages multiple tasks concurrently.
  • Exercise sound judgment in handling various issues.
